Employee Onboarding and Compliance Coordinator

The Choice Schools Associates Human Resources Team is looking to expand its detailed, accurate and fun HR team! We’re looking for a highly motivated, self-starter that thrives in a fast-paced, highly creative environment. This position will be a critical member of the HR Team, acting as the linchpin in supporting the central office human resources team.

The responsibilities of this position will include (but are not limited to) ensuring the effective onboarding process and support of new employees, as well as ensuring compliance laws are adhered to in the collection and retention of employee files, audits, and paperwork reviews. Provide excellent customer service for company employees by administering human resources policies and procedures that pertain to compliance. You will also be required to perform general administrative tasks.

ESSENTIAL PERFORMANCE RESPONSIBILITIES:

EMPLOYEE SUPPORT

  • Onboards new employees using various systems while maintaining continual communication between the new hire and HR Generalist.
  • Collaborates with the HR Generalist with an update once the new hire has completed all onboarding paperwork and is cleared to begin work at the school.
  • Assist employees with preparing, reviewing, processing, and/or maintaining various records.
  • Responds to employee questions within a timely manner.
  • Maintain confidentiality of all company employee personnel information and other confidential information.

COMPLIANCE

  • Maintains school compliance data and binders for the assigned schools.
  • Tracks expiring teaching, administrator, or social work certificates and licenses to receive updated copies.
  • Maintains position-specific compliance tracking for assigned school departments (transportation, nutrition, childcare/GSRP, custodial).
  • Runs ad-hoc reports in Workbright to track the completion of various forms, including offer letters and employee manual receipts.
  • Plans and implements the Department of Labor Drug and Alcohol Random Drug and Alcohol testing process annually.
  • Assists HR Generalist in the completion of the Registry of Educational Personnel.
  • Maintains file of pictures of employment law & sexual harassment posters for each school site.
  • Completes unemployment paperwork for the individuals previously employed at the assigned schools with assistances from HR Generalist.
  • Sends receives and logs unprofessional conduct request forms for newly hired employees prior to their start date. Follows up on missing unprofessional conduct forms every 30 days.
  • Attends professional development seminars to increase knowledge of Human Resources.
  • Other duties as assigned.

EDUCATION AND EXPERIENCE:

  • Associates degree required; Bachelor’s degree preferred
  • Highly organized and detailed
  • Competent in Google Suite and Microsoft Office, computer literate, and able to quickly learn new software systems
  • Ability to effectively resolve complicated complaints, inquiries, and issues in a professional manner
  • Effective communicator in both oral and written form.
  • Strong interpersonal skills and adept at establishing and maintaining good rapport and working relationships at all organizational levels
  • Demonstrated appropriate customer service attitudes and services in a variety of work settings
  • Demonstrated ability to act independently upon information and make decisions that achieve optimal results.

WORK ENVIRONMENT:

The work environment is in a standard office setting, including standard office equipment (fax, copier, phone, computer, etc.). The noise level in the work environment is usually low to moderate. While performing the duties of this job, the employee is regularly required to talk or hear. Using a keyboard and video display terminal, the employee is frequently required to sit, use hands for fine manipulation, handle, and reach with hands and arms. The employee is required to walk, stand, stoop, kneel and crouch. The employee must regularly lift and/or move up to 10 pounds and occasionally up to 25 pounds. Specific vision abilities required by this job include close vision.

TRAVEL:

10% at various times throughout the year. Mileage to be reimbursed at the Federal rate if a personal vehicle is used. Rental car available upon request provided personal driving history is satisfactory.

TERMS OF EMPLOYMENT:

12-month position, non-exempt position. Wage established by the Chief Executive Officer of Choice Schools Associates LLC.
