Villa Academy seeks a long-term substitute for our Accounting Specialist to join its team beginning October 14, 2024 and concluding March 7, 2025. The Accounting Specialist supports many functions of Villa’s Business Office including accounts payable, accounts receivable, reconciliations, auditing, purchasing/ordering, regulatory filings, and financial reporting. This thirty hours/week role is a temporary, long-term substitute position that follows the academic calendar, reporting to the Director of Business and Finance.
The ideal candidate is a self-starter who is knowledgeable and experienced in accounting and finance. They are detail-oriented and quick to adapt to new situations. This candidate will be a fast learner and excited about the opportunity to work in an independent school community.
ESSENTIAL RESPONSIBILITIES:
- Accounts payable: Ensure that all accounts payable invoices, credit cards and reimbursement requests are processed accurately and on time and follow up on any vendor queries.
- Accounts receivable: Manage student billing for tuition and incidentals, allocate payments, reconcile to the general ledger (GL) monthly, and communicate with families as needed.
- Accounting reconciliations: Monthly accounting reconciliations as required; process journals as necessary.
- Bank reconciliations: Reconcile all bank accounts monthly, sourcing necessary backup, inputting adjustments, and clearing transactions.
- Credit card reconciliations: Manage school credit cards, including matching receipts to credit card reports, and inputting journals into GL.
- Ordering: Assist with placing orders using Amazon Business and other vendors as requested. Assist with registrations for conferences and professional development opportunities.
- Regulatory filings: B&O taxes monthly and quarterly returns, as well as other state and charities filings.
- Financial reporting: Prepare monthly financial reports by department.
- Provide support to other departments as needed, including reviewing budget variances and providing detailed breakdowns.
- Keep W-9 files updated and prepare 1099s at year-end.
- Support the annual audit process.
- Assist in month-end and year-end closing processes.
- Participate in faculty/staff meetings, and perform other duties as assigned.

QUALIFICATIONS:
- Bachelor’s degree in Accounting, Finance, or a related field.
- 3+ years of experience in accounting or finance, preferably in an educational or non-profit setting.
- Proficiency in accounting software; FENXT and Google Suite preferred.
- Strong understanding of accounting principles, financial reporting, and budgeting.
- Exceptional organizational skills, keen attention to detail, and adaptability.
- Maintain the highest level of confidentiality and prioritize time-sensitive tasks effectively.
- Comfortable working independently and collaboratively with a team.
- Excellent communication skills for partnering with colleagues, families, and campus vendors.
- Able to spend extended periods sitting and typing, up to 8 hours per day.
- Capable of lifting items weighing up to 30 pounds, such as file boxes.
- Positive energy and enthusiasm for working in a Preschool through Eighth Grade, faith-based independent school.
- A commitment to ongoing professional growth, curiosity, cultural humility, and antiracism, as well as an understanding of its critical role in academic excellence and student growth.
SALARY RANGE AND BENEFITS:
Anticipated salary is $30.25/hour and thirty hours/week for the five-month tenure. This position is not eligible for benefits.
